Sign up for shifts if you already haven’t

After School Program- lengthy discussion of need for more volunteers to help Traci facilitate the program more effectively.  Marion to put email out for parent support.  
Policy and Procedure-  Discussion of running the After school  Program differently in the future as far as sign up and contacts are concerned.  Sharon still working on Policy.

Halloween-  Consensus of 86 trick or treaters for the night.  Traci reports it was a great success and a lot of great comments were made about the library , it’s new books, and programs.

Book Purchases-  Marion bought new picture books and early readers at Boxcar & Caboose and Sharon and Angelique visited Misty Valley Books in Chester for their latest purchase of adult and young adult books.  Misty Valley also donated  books for the Halloween give away.  Thank you  note to them.

Book give away shelf-  Angelique still working on signs.  

Reading dog program-  All spots were filled.  Will do another program if the interest is there.  Thank you note to Joanne McDonnell

New Business

Internet/Phone connection-  Thank you to Sean Lee for getting RCML up and running.
Work was finished while meeting was being held.  Library now has phone and internet.

Work Day-  scheduled for November 15.  Discussion of job priorities.

Library Space – In depth discussion for  the future space for the library with regards to the new town office plans etc...  What is our position?   How do we move forward?  Letter?

Volunteers are encouraged to sign up for shifts in October, plenty of openings available.

Eunice has organized Saturday morning music program with Susie Smollen on October 24th, Nove 14th & Dec 12th.  Anticipated time, 11 am-noon.

Tracy present agenda for after school programming.  Hopes to start the season with a Bat Presentation by the Woodland Conservatory on Oct 13th.  Kelly O'Brien to organize a scavenger Hunt on Oct 20th.  30 pumpkins to be ordered for carving on Oct 27th. Creative Dramatization/  Emerging Theatre workshops on Nov 10th & 17th.
Sharon continues to work on Policies and Procedures.

Staff needed for Halloween Book Givaway at the Library.
Some books available, more may be purchased for givaway.

Sharon reports book sale was well organized.

Angeliquereports the "reading dog" will be available on Saturday 17th & 24th from 9:30- 10:30 , but that no one has yet to sign up.

Library volunteers will once again maintain a shelf of free books at the Pitt Stop; Angelique will refresh signage.

Angelique, Sharon & Marion volunteered for book buying mission.  Most likely to Briggs & Carriage in Brandon and possibly Annie's Book Stop and Book King in Rutland.  A trip to the book store in Hanover, NH was alos discussed. Purchases to include books for Halloween givaway, children's picture books, Easy Readers, Junior Fiction and Adult books.

All present reminded that a backlog of books to be catalogued exists and that at least a few could be done during each shift.  The possibility of hiring someone to catalogue books discussed.  Angelique will explore the possiblity of creating a template so that a computer, rather than the typewriter could be used in the process.

Librarything.com discussed as a means to inventory the library's collection.  Trustees/volunteers encouraged to review site and give feedback.

Response to Marions call to duty good; nearly all September Library shifts covered.
Sharon and Angelique report a successful $500.00 shopping mission.  A trip to Bear Pond books where approximately 12 adult books and 40-50 works of junior fiction were acquired at a 20% discount.  A few free slightly damage books were included in the take.  Another stop at the Free State Library netted another 35 children's books.
Marion purchased approximately $70.00 worth of children's books from Annie's Book Shop.
Details of upcoming "Adventur Race", Friday 9/11 discussed.  Traci will contact Rutland Herald for possible coverage. Nancy to set up  at 4:30.  Karen available to help earlier if needed.  Karen to pick up extra paper supplies, cookies & apples.  Marion will arrange pizza.
Book sale plans made for Bazaar.  Book culling to be done on Thursday evening 9/24, Karen plans to start at 5, all welcome.  Marion & Nancy will provide canopies.  Book movers needed Friday night/Saturday morning.  Traci, Angelique, and Sharon available to supervise sales.  More volunteers wanted.  Angelique will create flyer for distribution at book sale.
Eunice previously agreed to organize music program with input from Marion.
Traci plans to start after school program on Tuesday, 10/13 and complete on Tues 11/17.  Five Tuesday sessions in all.  No program on Election Day, 11/3.
Sharon still investigating Policies and Procedures.  Will have some basic policy ready for after school program participants.
Susie is perfectly happy to file the Annual Vermont Public Library Report and Application for Minimum Standards online.
A thank you note was penned to Myra Peffer and her red bird Willard.
Angelique reports having written a proposal for a $300 grant from Ezra Jack Keats.

Upcoming book sale at Bazaar on 9/26/09 discussed.  Additional book donations for sale will be solicited via email and notice to Johnnie Goldfish by Marion.  Angelique will post sign at Pitt-Stop and library.  Books will be culled and organized evening of 9/24, 5-7 pm.  Volunteers are asked to sign up in advance for shifts to manage book sale at Bazaar.

Regarding book purchases: Marion volunteered to purchase with library funds picture books and easy readers. Sharon and Angelique plan an expedition to purchase with library funds new books for the adult and young adult collection.  Angelique will also arrange to add to our children's collection from a new six month allotment available from the state children's library.  Susie will continue to add to our collection at her discretion. Establishing an Amazon account to facilitate future purchases was also discussed; Angelique will investigate. Marion will be emailing library patrons to inform them of new books recently added to our collection.

Turrell Budget, amounts requested/amounts received reviewed.

Susie, Sharon and Angelique reported on recent Automation Demo they attended.  Automation of RCML collection discussed-advantages, cost.  Angelique will seek additional information from Vermont Organization of Koha Automated Libraries regarding implementing a Koha automation system and report back to trustees.

Plans to combine an all ages  " Adventure Race" activity session with athletic trainers Doug & Kelly Lewis with a final summer library picnic discussed.  Marion will contact the Lewis duo with suggested date of Friday, September 11, 2009, 5-6:30 pm.  Event to be followed by purchased pizza &  beverages.  Desserts to be solicited from library volunteers.

Upcoming after school programming briefly discussed.  Is Traci Templeton interested in spearheading the program?  Marion will ask.

Sharon volunteered to investigate the creation of library policies, procedures, and  emergency plans and to organize a committee to present results to library trustees.

All volunteers are encouraged to consult the calendar and sign up for shifts.

Old Business
-First summer picnic was discussed and finalized.  
Date: Friday, June 19, 2009.  
Time: 4:30      Games and activities.  
Sharon to talk to Karen about badminton. Display Art puzzle pieces. Suzie to talk to Judy about extra puzzle pieces to hand out.  Door prizes already in stock. Sign up for Champlain Valley Fair     
Reading Program. Traci to follow up on vouchers for program.  Kick off for Summer Reading Program - Celebrate Creativity! (Lauren)
        5:30- 7 Potluck to include salads, desserts, drinks.  
Traci to ask Pitt Stop for donations of hot dogs/hamburgers and buns.
PR:  Traci will write text.  Angelique will make flyer.  Marion to print flyer. Flyer to be sent to surrounding schools, posted at community locations.  Noted:  Everyone, young and old, encouraged to attend.

-Adult book buying. Sharon Mayer and Marion Abrams reported a successful book buying trip to Northshire Bookstore.  The library received a 20% discount  for books purchased.  Sharon noted that the staff was very helpful.   

-Adult programming. Angelique forwarded an email to Marion in regards to the  Forest Service presentations.  They are interested in doing both presentations.  
1.Forest Service presentation on fisheries, river walk 2.  Forest Service botanist nature ID walk. Angelique is still following up on:  3. Vermont Herbalist on wild edibles and herbs.  Tentative dates for three consecutive Thursdays in late June/Early July.

Marion reported the book display for the Civil War Letters presentation on May 15th proved to be successful with several books being checked out.

-F451 April will lead discussion.  Showing of movie was dismissed.

-Young Adult Programming.   Sharon reported Artist Jen Vaughn did a super job with our 11 participants in creating puzzle pieces for Art Fits: Vermont’s Community-wide Art Project.  Puzzle pieces will be displayed  in the library.  Jen donated two books to the library.
There was discussion of further programs, possible movie night w/ pizza.

-Children’s Programming. The summer Saturday children’s program dates are set and will begin 7/11 and continue thru 8/15.  Most volunteers are in place, with Marion following up on rest.

-VT. Parks Pass.  Discussion of length of time for pass holder.  Four days agreed.  Fee for lost pass.

-Movie License:  Marion will renew.

-Smithsonian. Susie Martin will send  thank you to Susan Klink who donated another year's subscription of Smithsonian Magazine to the library.

-Susie discussed Fairbrother Award

New Business

- Inter-Library Scavenger Hunt:  Marion expressed there is interest from Sherburne/ Rochester libraries to create a Inter-Library kid’s program for this summer with a “GOOD” prize as incentive.

Marion and Angelique’s presentation to the Vt. State Town Officer’s Meeting was very well received. The Vt. Dept. of Libraries has asked if they would speak again.

Sharon noted Vermont has more libraries per capita then any other state.

Old Business
-Thank You notes will be written by Karen for the fund raising dinner & auction.  Susie will purchase blank cards.  Thank you notes also need to be written for the after school program.

-First summer picnic was discussed.  We would like to make it a celebration of the end of school and start of summer for ALL Pittsfield families.  We will check closing dates for S.E.S, Stockbridge, Barstow, Rochester and Woodstock schools and try for the first Friday after.   Traci will coordinate food and logistics, Marion and Angelique will assist with publicity to include: email list, web site, our letter sign, fliers, and local papers.  We plan to make this our summer reading kick off too.

-Adult book buying.  Sharon Mayer will take on the bulk of our new adult book purchasing using money from our fund raising dinner.  The trustees have authorized her to purchase several ($60) books from a variety of best seller hot lists EVERY month this year.  She will also work with other volunteers with a goal of purchasing $1,000 of new books for the library in the next month.

-Adult programming. Angelique will try to coordinate a series of three consecutive Thursday evening programs.  1. National Forest Service presentation on their choices for land use, 2. Vermont Herbalist on wild edibles and herbs, 3. National Forest Service botanist nature ID walk.

We will also approach the Historical Society to offer a book display for their Civil War Letters presentation on May 15th.

-Childrens Programming.  Angelique asked for and was granted permission to purchase art supplies and food for the May 30th program.  We discussed the possibility of a Tie Die or Batik program with one of the picnics.  Marion would like to have the Summer Saturday story and craft program again thisyear.  We will need at least 4 volunteers to share the load of a series of 6 consective Saturdays. 

-Smithsonian.  Susie Martin announced the receipt of another year's donated subscription to Smithsonian Magazine.

-Computer usage. A 20 minute time limit for computer usage was adopted.

The community dinner at The Clear raised $2373 ($1024 from the auction, $1150 from food).  Jason Evans donated all food for this event!  Thank you notes will be sent to all who contributed and volunteered.  Angelique won the drawing for free dinner for 2 next year.  Suggestion for next time – 50/50 raffle.

Big Read - Fahrenheit 451- We’ll combine the movie screening with discussion, 1 night event.  Sharon will do some PR with local book club(s).  All 10 copies were checked out. 

Listen Up VT – Nancy got MP3 players and instructions all ready to be checked out.  One is already loaded with Fahrenheit 451!  (You’ll need your own headphones.)  Marion will put a link on our Web site and downloading instructions. 

Summer picnics – Maybe hold the first one on Sherburne’s last day of school.  We can try to get food donations from a local business.  Roger at Green Mountain Grill is interested in helping in some way…  Perhaps ice cream certificates for our reading program?

We have money to purchase books for adults.  Sharon will work on this.

Special programs or speakers?  Angelique will check into this.  Willem Lange?  Doug Lewis – program for moms?  
Other ideas for purchases – large print books, another computer (need someone to research this!), and CD display.

Press release will be written RE: Giorgetti donation and the fundraising dinner at The Clear.

Begin thinking about summer programs, and bring ideas to next meeting.  “Less will be more” this year.

Roger Clark Memorial Library Meeting Minutes – March 5, 2009
Marion, Susie, Karen, April, Sharon, and Edna were present.
Treasurer’s report was given.
  -The big news is that we received a $10,000 CD from the late Mary Georgetti  to be used for capital expenses!

-The Library fundraiser dinner on April 1 is currently oversold by one seat.  Sharon is contacting Jason at The Clear to see if we can add more.  Library committee members will be baking desserts.  We have a nice list of items for the silent auction thus far.  Sharon will be putting together creative book centerpieces.  If this becomes an annual event, we may need more space…

-The Big Read – Fahrenheit 451 - We’ll check out 10 books at the dinner and make a waiting list.  All who read will be put in a drawing for free dinner tickets next year!  Perhaps three events:  movie screening in August, book discussion in Sept. (April will coordinate), and another event in Oct.  Bonfire?

-Alvina from the post office donated 100 Edgar Allen Poe stamps.

-April 5th will be a work day with possible April committee meeting at that time.
